Overview: Assist with the day-to-day patient care operations of the phone room, and scheduling functions.
This responsibility includes monitoring the workflow and tasks associated within these areas and reporting issues to the Practice Manager.
May be required to assist in various divisions.
Responsibilities: This position works closely with the administrative and management team as it relates to the creation and opening of provider schedules, including monitoring open slots and the rescheduling and bumping of patients of assigned divisions.
Is responsible for the advanced review of daily schedules in order to proactively reach out to patients on the reminder/wait list patients daily to fill in scheduled upcoming slots for the week- this is really important for provider productivity.
Log all tasks which require overbooking of schedules and prepares reports for the department regarding additional appointment needs.
Attend monthly Departmental meetings and Compliance training.
Work closely with supervisors, managers, and senior administration to achieve excellent customer service, the highest quality outcomes, employee retention, and optimal workflow.
Provide support to the phone room staff.
Generate and manage daily report from departmental answering service.
Monitor phone system to ensure all calls are answered according to EVMS guidelines; report issues to department management.
Monitor the clinical support workflow and overall patient flow and report any issues to Practice Manager.
Provide input to Practice Manager regarding annual evaluations of support staff.
Provide a quality orientation for all new hires Act as first responder for assisting patients with concerns and complaints.
Track staff training and development.
Maintain confidentiality regarding patient and business functions of the clinic.
Performs special projects and reports, including task audits.
Performs other duties as assigned by the Departmental Management Qualifications: Associates degree and 3 years of relevant experience in a Health Care environment required, preferably in a physician group practice.
Supervisor experience is preferred.
