Overview: Reporting to the Manager of the Office of Sponsored Program, position will manage grants and contracts submission, provide general administrative and professional advice on grants and contracts management, and assist sponsored programs staff and faculty in the administration and management of research funding from federal, state, corporate and private foundations.
The Specialist will review grants, contracts and related correspondence in the pre-award phase for conformance with sponsor and the Institution guidelines.
Additionally, the Specialist will assist with contract review, subcontract preparation, and handle non-fiscal post award administrative issues.
The Specialist has the responsibility for communicating the Institution policies and procedures to research support staff and Principal Investigators.
In addition to having responsibility for the contract and grant administration, this position may also be involved in grant transfers and changes, interactions with other institutions, and assistance in other research compliance activities, such as meeting agendas and preparations.
The incumbent in this position will be allowed to work a full remote schedule that may occasionally require 1 to 2 days a week in the office for meetings and other tasks requiring significant collaboration.
Responsibilities: Act as first point of contact for proposal submission process.
Review and interpret sponsor requirements, regulations and institutional policy intersections for proposals.
Evaluate and coordinate processing of responses to faculty and sponsors regarding proposals and awards.
Ensures policies are met, correct cost rates are applied, appropriate forms are completed and submitted.
Read and interpret Requests for Proposals, review proposals, including all verifications within the grant submission system, checking budgets and verifying accuracy and compliance with sponsor requirements.
Respond to routine questions regarding rules and regulations governing sponsored programs.
Coordinate sponsored project award reporting and technical closeout activities.
Duties and responsibilities include: preparing documents for Just-In-Time requests, annual progress reports, no cost extension requests, etc.

Provide support to the users, including providing assistance in obtaining NIH eRA Commons credentials and navigating various software systems.
Recommend and enhance procedures, and administratively coordinate implementation of new or modified systems.
Use Institution systems to create quarterly and annual sponsored projects activity reports as well as other ad hoc reports as needed.
Recommend and enhance administrative procedures.
Perform other duties as assigned.
Qualifications: Bachelor's degree in related discipline preferred.
Three (3) years of related experience in working with grants and contracts is required.
One year of which is in a sponsored research environment preferred.
Additional education may substitute for required experience and additional related experience may substitute for required education.
Demonstrated experience with budget/pre-award process.
Must be detail-oriented, well organized, and able to handle multiple projects in a deadline driven environment.
Knowledge of Excel required.
